Getting Started

RepliAI is an AI-powered tool designed to help you craft better responses in seconds. Instead of spending valuable time re-reading and reformatting your messages, simply put your thoughts down and let AI refine them into polished, ready-to-send replies. Unlike traditional AI agents that generate obvious, generic replies, RepliAI allows you to specify instructions, tone, formatting, and other elements, ensuring each response matches your personal style and cadence. This documentation covers both the web application and the browser extension.

Using the Web Extension

Installation

The RepliAI browser extension is not yet available in any extension store and must be installed manually. Follow these steps to install it in developer mode:

For Chrome/Edge/Brave:
  1. Download the extension files by cloning the repository or downloading the ZIP.
  2. If you downloaded a ZIP, extract it.
  3. Open your browser and go to the extensions page:
    • Chrome: chrome://extensions/
    • Edge: edge://extensions/
    • Brave: brave://extensions/
    • Firefox: about:addons
  4. Enable “Developer mode”.
  5. Click Load unpacked.
  6. Select the folder containing manifest.json.
  7. The extension now appears in your list.
For Firefox:
  1. Download the extension files.
  2. Open about:debugging.
  3. Click This Firefox.
  4. Click Load Temporary Add-on…
  5. Select manifest.json.
  6. Note: it will be removed when you restart Firefox.

Note: When installing unpacked, you may need to re-enable the extension after browser updates. Keep the folder intact.

Extension Setup

After installation you need to configure the extension:

  1. Click the RepliAI icon to open the popup.
  2. Go to the Settings tab.
  3. Enter your ReplyAI API key (ra-...).
  4. If you don’t have a key, contact your admin.
  5. Enable Compliance Mode if needed.
  6. Click Save Settings.
  7. Return to the Dashboard to verify the server status.

Tip: A green indicator shows a successful connection. If it’s red, check your API key and internet connection.

Step 1: Access Email

RepliAI works in most email clients and text inputs. Two ways to invoke it:

Method 1: Right-Click Menu
  1. Select the text you want to improve.
  2. Right-click and choose Reply with ReplyAI.
  3. A popup appears with the selected text and options.
Method 2: Hotkey
  1. Highlight the text you want to improve.
  2. Press Alt+X.
  3. The popup appears with response options.

Step 2: Add Instructions

In the popup:

  1. Enter clear guidance in the Instructions field:
    • Desired tone (formal, friendly, etc.)
    • Preferred length
    • Key points to include/avoid
    • Specific role (“IT responder”, “assistant”, …)

Best Practice: More specific instructions yield better results.

Step 3: Generate Response

After adding instructions:

  1. Right-click & choose Generate Better Response or press Alt+X.
  2. Wait 2-5 s while the AI drafts your reply.
  3. Review the result in the popup:
    • Copy: copies the reply.
    • Refresh: get an alternative.
    • Comment: add extra instructions.

Using Hotkeys

The default hotkey is Alt+X.

Note: The hotkey cannot be changed (yet). It works across most websites, including Gmail, Outlook Web, and many forums.

Compliance Mode

When enabled, Compliance Mode redacts sensitive data before sending it to the AI:

  • Email addresses
  • Phone numbers
  • Street addresses
  • Social security numbers
  • Bank information
  • Personal names

Enable it in Settings → Compliance Mode and click Save Settings.

Important: Do not rely exclusively on automated redaction for highly regulated data.

Using the Web App

Step 1: Enter your response

Enter the response you wish to modify in the Response text area.

Step 2: Add Instructions

Add specific instructions for how you want the AI to respond. The more instructions the better. Be specific about tone, key points, phrases to include, etc.

Step 3: Select Response Style

Choose a predefined style:

  • Professional: formal language
  • Friendly: conversational tone
  • Concise: brief & direct
  • Detailed: comprehensive

Step 4: Generate Response

Click Generate Response and wait a few seconds, then copy it with the Copy button.

Tips for Better Results

  • Include the full thread for context.
  • Be explicit about tone and length.
  • Edit the AI reply before sending.
  • Use Include Email Subject for a matching subject line.
  • If unhappy, regenerate with clearer instructions.

Troubleshooting

Response Generation Fails

Try:

  • Check your internet connection.
  • Refresh and try again.
  • Shorten the input email.
  • Clear cache & cookies.

Response Quality Issues

If the AI reply is unsatisfactory:

  • Provide more specific instructions.
  • Try a different style.
  • Include more context.
  • Specify key terminology.

Extension Not Working

Check:

  • Developer mode is enabled.
  • Your API key is correct.
  • Server status is green.
  • Re-install the extension.
  • Your browser is up to date.
  • Extension permissions in your email client.

Context-Menu Missing

If “Reply with ReplyAI” is missing:

  • Select text before right-click.
  • Refresh the page.
  • Disable & re-enable the extension.
  • Check extension permissions.
